Privacy Policy and Cookie Policy
Version 1.0 · Effective from October 28, 2026
Legal framework. This policy is governed by Chilean Law No. 19.628 on the Protection of Private Life, in force until November 30, 2026, and by Law No. 21.719 on the Protection of Personal Data, which replaces it from December 1, 2026 and creates the Personal Data Protection Agency (Agencia de Protección de Datos Personales).
1. Data controller
The controller of the personal data collected through icn2028.cl, the website of the 8th International Congress of Nematology (ICN 2028, Puerto Varas, Chile, March 2028), is the ICN 2028 Organizing Committee.

We do not request sensitive data. If you include it in the free message field, we will treat it confidentially and delete it once it is no longer necessary.

- Your free, specific, unequivocal and informed consent, given when you check the consent box before submitting the form or when you accept cookies.

- To produce aggregated statistics, which do not identify individuals, to improve the website (only with your consent).
We do not use your data for advertising without additional, specific consent, which you can withdraw at any time.
6. Retention
- Contact and sponsorship requests: up to 24 months. After that period they are deleted or anonymized, as required by article 14(d) of Law 21.719 for data obtained in the context of pre-contractual measures.
- Cookie consent records: 180 days, unless you renew your choice earlier.
- Technical and security logs: up to 12 months.

Your data are processed by persons authorized by the Organizing Committee. They may also be processed by the following providers acting as processors, under contract and confidentiality obligations:

8. International data transfers
Several of the providers listed above process data outside Chile, mainly in the United States, a country that may not offer a level of protection equivalent to Chilean law. These transfers are made because they are necessary to provide the website and answer your inquiry, and they are protected by the providers' data processing agreements and contractual clauses that safeguard the confidentiality of the data and the rights of the data subject. By submitting the form and, where applicable, accepting cookies, you are informed of and consent to these transfers.
9. Your rights
As a data subject you have the right to:
- Access: know which of your data we process and for what purpose.
- Rectification: correct inaccurate or incomplete data.
- Erasure: request deletion when the data are no longer necessary or you withdraw your consent, unless there is a legal obligation to keep them.
- Objection: object to processing on legitimate grounds.
- Portability: receive your data in a structured, commonly used format, or have them transferred to another controller.
- Blocking: temporarily suspend processing while a request is resolved.
- Withdrawal of consent at any time, without retroactive effect.
- Automated decisions: not to be subject to decisions based solely on automated processing, including profiling, that produce legal effects or significantly affect you (article 8 bis of Law 21.719). We do not make such decisions.
To exercise them, write to [email protected] indicating your full name, a document proving your identity and the right you wish to exercise. We always reply to the same email address the request came from. We respond in writing within 30 calendar days, extendable once for the same period. If we reject the request, we will explain why. Exercising your rights is free of charge.
If you consider that your rights have not been respected, you may file a complaint with the Chilean Personal Data Protection Agency.
10. Security and data breaches
We apply reasonable technical and organizational measures to protect your data: encryption in transit (HTTPS), role-based access control, protection against malicious traffic and restricted access to the data.
In accordance with article 14 sexies of Law 21.719, security breaches that cause the destruction, leakage, loss or alteration of personal data, or unauthorized access to them, will be reported to the Personal Data Protection Agency without undue delay when there is a reasonable risk to the rights of data subjects, and to the affected persons when required by law.
11. Cookies and similar technologies
We use cookies and equivalent technologies, such as local storage and measurement pixels, grouped into three categories:
- Necessary: allow the website to work and remember your cookie choice. They do not require consent.
- Analytics: measure, in aggregate, how the website is used (Google Analytics). They require your consent.
- Marketing: measure campaigns (Meta Pixel). They require your consent.
Analytics and marketing cookies are disabled by default and are not loaded until you expressly activate them in the cookie banner.
Consent record: for each acceptance or rejection we record the IP address, date and time, accepted categories, document version, origin URL and browser user agent, as evidence of your choice. These records do not include your name or email, so an access or erasure request regarding them can only be handled if you provide information that allows us to locate them.
You can change your decision at any time from the Cookie preferences link, available on every page. Withdrawing consent is free and has no retroactive effect. You can also block or delete cookies in your browser settings.
12. Minors
This website is aimed at adult professionals and researchers. We do not knowingly collect data from minors. If we detect that a form was completed by a minor, we delete that data. If you believe this has happened, write to [email protected].
13. Changes to this policy
We may modify this policy for legal, regulatory or operational reasons. Changes apply from their publication on this page, identified by version number and date. Whenever this document changes, we will ask for your cookie consent again.
14. Applicable law
This policy is governed by the laws of the Republic of Chile.
